Privacy Policy
Information notice on the processing of personal data pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR).
Pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR), Active Media SRL informs website users and guests of the property about the processing of their personal data.

2. Categories of data processed
- Personal and contact details (first name, last name, email, telephone) provided via form, WhatsApp, email or telephone.
- Booking and stay data (dates, room, number of guests, special requests).
- Identity document details, collected at check-in to fulfil the obligation of guest registration with the Public Security Authority.
- Payment data (handled by payment circuits/processors; the property does not retain full card details).
- Browsing data (technical logs and cookies — see Cookie Policy).
- Content of communications exchanged (email, messages, contact form).
3. Purposes and legal bases
- Managing the availability enquiry, the booking and the stay → performance of a contract or pre-contractual measures (Art. 6.1.b GDPR).
- Legal obligations: registration of guest data with the Police Authority pursuant to Art. 109 TULPS; tax, accounting and tourist tax obligations → legal obligation (Art. 6.1.c GDPR).
- Responding to information requests and assistance → legitimate interest or pre-contractual measures (Art. 6.1.b/f GDPR).
- Sending promotional communications → only with prior free and revocable consent (Art. 6.1.a GDPR).
4. Recipients
Data may be disclosed, to the extent necessary, to: the property's management system/PMS (KrossBooking), payment processors, the Public Security Authority, appointed professionals (e.g. tax adviser), IT and hosting service providers (Cloudflare). Data is not subject to dissemination.
5. Transfers outside the EU
Some providers (e.g. Google for Google Maps and Google Fonts, Cloudflare) may process data outside the European Economic Area; in such cases, the transfer is carried out on the basis of adequacy decisions or standard contractual clauses, guaranteeing an adequate level of protection.
6. Retention period
Data is retained for the duration of the relationship and, thereafter, within the periods provided for by law (e.g. tax/accounting documents for 10 years; guest data in accordance with the relevant regulatory obligation). Data processed for marketing purposes is retained until consent is withdrawn.
7. Rights of the data subject
The data subject may at any time exercise the rights of access, rectification, erasure, restriction, portability and objection, as well as withdraw consent, by writing to booking@bolognastationsuites.com. The data subject also has the right to lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it).
8. Nature of data provision
The provision of data necessary for booking, the stay and legal compliance is mandatory: refusal prevents the conclusion of the contract. The provision of data for marketing purposes is optional.

This notice may be updated; the date of the last revision is indicated at the bottom.
